Two connections, both read only
Your company's administration connects the Amazon account in ZepDesk under Administration, Company, Integrations. You sign in with Amazon and give your consent there; ZepDesk does not receive your Amazon password. For each connection, ZepDesk requests only one role from Amazon, the narrowest one that is enough for accounting.
Amazon Seller Central
You sell on Amazon. ZepDesk fetches your settlements so that each payout can be split into sales, Amazon fees and commissions, and refunds.
- settlements (settlement reports) and financial events
- sales and refunds per order
- Amazon fees and commissions
- payouts to your bank account
- order number and SKU, so that each line can be matched
- names, addresses, phone numbers or email addresses of your buyers
- your listings, prices and inventory
Role at Amazon: "Finance and Accounting" of the Selling Partner API
Amazon Business
You buy for your company on Amazon Business. ZepDesk fetches your invoices and credit notes and places them in the receipt inbox as receipts.
- your payment transactions on Amazon Business (charges and refunds) with order number, invoice number, date, amount and seller
- invoices and credit notes as PDF, with the mandatory details of an invoice, including the name and address of the invoice recipient and, where Amazon lists it, the delivery address
- place, change or approve orders
- manage users or settings of your business account
- store the name and email address of the orderer and the payer, the last four digits of the payment instrument, company and department names or fields of your order form; Amazon includes them in the payment data
Role at Amazon: "Business Purchase Reconciliation" of the Amazon Business API
What ZepDesk uses the data for
Only for your accounting in ZepDesk: payouts from Amazon are split and assigned to the accounts of your bookkeeping, purchase invoices become receipts. Invoices from Amazon Business go through receipt recognition like any uploaded receipt (privacy policy, section 7b).
- ZepDesk writes nothing into your Amazon account.
- ZepDesk does not use the data for advertising and does not sell it.
- ZepDesk only passes it on to the service providers named in the privacy policy for hosting and receipt recognition, unless you pass it on yourself, for example as an export to your tax advisor.
Storage and deletion
In your ZepDesk instance, in data centers of Hetzner Online GmbH in Falkenstein, Germany. The access token from Amazon is stored encrypted in your instance and in our sign-in service connect.zepdesk.de. Between Amazon and ZepDesk, data only travels encrypted over HTTPS.
What ZepDesk fetches first lands in the connection's inbox. ZepDesk clears Amazon's full response after the period for raw data stated in the privacy policy (section 5b.6); afterwards only the identifier, date, amount, counterparty and the reference to the receipt remain.
If you disconnect the connection, ZepDesk deletes the access token. After disconnecting, and likewise if you withdraw ZepDesk's access at Amazon, ZepDesk deletes from your instance within 30 days all data from your Amazon account that has not been taken over into your accounting, that is, neither as a receipt in the receipt inbox nor in a booking. Of records that were taken over, only the identifier, date, amount, description and counterparty remain as proof of origin. Section 8 of the privacy policy applies to the daily backups.
ZepDesk does not delete receipts with their PDF or bookings together with the connection, not even an invoice that is in the receipt inbox and has not yet been booked. They are part of your accounting and remain for as long as the law requires retention (GoBD, § 147 AO, § 257 HGB): 8 years for vouchers, 10 years for books, each from the end of the calendar year.
If your contract with ZepDesk ends, the deletion rules of the privacy policy (section 8) and of the data processing agreement apply; before that you can export your data.
Revoking access
You can end the access at any time without asking us. ZepDesk then fetches nothing more, and the deletion described above begins.
- In ZepDesk: Administration, Company, Integrations, open the Amazon connection and choose "Verbindung trennen" (disconnect).
- In Amazon Seller Central: via "Apps and Services" and "Manage Your Apps", choose "Disable authorization" for ZepDesk. This is how Amazon names the steps in its developer guide.
