Which legal forms is ZepDesk suitable for?

For sole proprietors and freelancers, GbR, OHG, KG, UG, GmbH, AG, eG, associations and foundations; a gGmbH or gUG as a GmbH or UG marked as non-profit (more). The price depends on the legal form.

Can I invite colleagues, and what roles are there?

Yes, unlimited users at no extra cost. Six roles per company: Administration, Accounting, Sales, Tax, Read-only and Employee. What each one sees and does is described under Roles and collaboration.

Who makes the tax decisions, ZepDesk or me?

You. ZepDesk creates the bookkeeping, filings and annual accounts from your entries and checks them; filing and the tax decisions are up to you.

Which tax filings does ZepDesk create and transmit?

Advance VAT return, EC Sales List, wage tax return with the Payroll plugin, annual VAT return, Anlage EÜR, trade, corporate income and capital gains tax, from your entries and checked against the official validation rules. The private income tax return is not part of it. More under Taxes and ELSTER.

Can I meet the e-invoicing mandate?

Yes, in both directions: sending as XRechnung or ZUGFeRD under the standard EN 16931, to public-sector clients in Germany with the Leitweg-ID from the customer profile. Incoming e-invoices are read in, validated and turned into a receipt; nothing is posted until you have checked it. More under E-invoicing.

Am I a small-business owner (Kleinunternehmer)? Does that work too?

Yes. When you set up the company, you enable the small-business regulation (Kleinunternehmer-Regelung). All invoices are then issued without VAT and carry the corresponding note. You then file an advance VAT return only in special cases, for example when you owe the tax as the recipient of a service under § 13b UStG; ZepDesk still generates the annual tax preparation.

Which banks are supported?

Every German bank, through the account statement as CSV, MT940 or CAMT or directly through finAPI (PSD2). More under Bank reconciliation.

Which plugins are available?

You switch plugins on per company in your account. Seven are included in the plan; ZepDesk CRM Pro (€14.90) and ZepDesk Cash Book (€4.90) have a monthly price of their own. All of them are listed under Plugins.

Is there an API?

Yes, an open REST API with filters, pagination and API keys that Administration creates. More under Integrations.

What can the AI assistant do, and which AI is behind it?

It prepares entries and reports and explains every step. You choose the provider: Claude, ChatGPT or your own endpoint with an OpenAI-compatible interface; without your own access, a shared access from ZeptronIT with the same provider can be used. Through MCP you can also connect an assistant such as Claude that reads with your rights and only proposes changes (early access). What the AI reads is processed by the chosen provider, possibly outside the EU. More under AI assistant.

Does ZepDesk create the EÜR (cash-basis income statement) automatically?

Yes, along the lines of the Anlage EÜR, with special depreciation, the investment deduction under § 7g EStG and private use of business assets; you can download it as CSV.

How does my tax firm get the data?

Most simply with its own access in your company, at no extra cost. If it works in its own software, the DATEV export delivers a posting batch per period with invoices, receipts and bank transactions. More under for tax firms.

Does ZepDesk do payroll?

Yes, with the ZepDesk Payroll plugin: payslips with the 2026 social insurance contributions as PDF and the wage tax return. ZepDesk creates social insurance notifications and contribution statements but does not yet transmit them to the health insurance funds; the required ITSG system certification is still missing.

Is ZepDesk GoBD-compliant?

Yes. Entries are reversed rather than deleted, changes stay in the history, receipts are stored with a checksum, and you keep the process documentation with the Compliance plugin. You must keep books and annual accounts for ten years and accounting vouchers such as invoices for eight years (§ 147 (3) AO); at the end of the contract the complete export gives you receipts, invoices, bank transactions, DATEV batches and the change log, and you download the annual accounts as PDF.

Is there a mobile app?

Yes, for Android on Google Play. The iPhone app is still in review at Apple. The interface also works in the browser on a phone, especially for receipt photos and checking key figures.

Can I run a holding with its subsidiaries in ZepDesk?

Yes. Each entity is a company of its own with its own books, and you switch between them with one sign-in. The holding keeps its participations with the reconciliation under § 8b KStG. How this looks is described under Holding and group.

Do I need a fiscal unity (Organschaft) for that?

No. Without a fiscal unity each company keeps its own books, and no figures flow between the companies. The controlling company's Administration requests a fiscal unity, and the subsidiary consents itself.

What does a group cost?

Per entity the rate of its legal form, with no group discount. A holding, a subsidiary and a second-tier subsidiary as GmbH cost €237 a month together, or €2,370 a year with annual payment. More in the worked example for a group.

Pricing, contract and account

What does ZepDesk cost?

€29.00 for sole proprietors, €39.00 for associations and foundations, €39.00 for public-law corporations, €49.00 for partnerships, and €79.00 for corporations, each per month and company including VAT. Tax-firm rates on request.

Do I pay per user?

No. Users, receipts, and entries are unlimited per company, and access for your tax advisor is included too.

Is there a free trial?

No. ZepDesk is paid from the first month. There is no setup fee and no minimum term, and with monthly payment you cancel at the end of any month. We are happy to show you a demo company in a call.

Can I use ZepDesk today?

ZepDesk is available and in public early access. That means you can work with it productively today, new features are added continuously, and some areas are still new.

Who is the association plan for?

For registered associations and foundations, €39 a month including VAT, with spheres under § 64 AO, donation receipts, use of funds, members and SEPA direct debit. gGmbH and gUG book the corporation plan. More under associations and foundations.

Which payment methods are accepted?

Through Mollie we accept SEPA direct debit, card payment (Visa, Mastercard, AmEx), PayPal and Klarna. Payment by invoice and bank transfer is available on request.

Is there a discount for annual payment?

Yes. With an annual plan you pay for ten months instead of twelve and save two monthly fees (effectively a 16.7% discount off the list price). The benefit is shown automatically at checkout.

Can I cancel anytime?

Yes. You can cancel at any time, effective at the end of the current billing period, under My account, My plan or by email to sales@zepdesk.de. No minimum term, no hidden clauses.

Do I get my money back if I'm not satisfied?

Our terms and conditions do not provide for a refund once the contract is concluded. You can cancel at any time, effective at the end of the current billing period, so at the end of the month with monthly payment.

How do I switch plans?

Under My account, My plan. A change takes effect immediately, to a more expensive plan as well as to a cheaper one. ZepDesk prorates the difference for the remaining days of the billing period and shows it as its own line on the next invoice, as a surcharge or as a credit.

Is there Enterprise or On-Premise?

We agree Enterprise on request through the contact form, for example for special configurations; the price depends on scope. Running ZepDesk on your own infrastructure is not something we offer at the moment.

Do we have to pay setup fees?

No, none of the plans has a setup fee. For Enterprise, setup and migration depend on scope; we tell you the price up front.

Data, privacy and switching

Where is my data stored?

In ISO 27001-certified data centers operated by Hetzner Online GmbH in Falkenstein, Germany. Receipt recognition and dictation are processed by Scaleway SAS in a data center in Paris, France; according to Scaleway, it does not store the content. ZepDesk uses AI providers such as Claude or ChatGPT only if you choose one in the AI settings or connect one via MCP. The data processing agreement under Art. 28 GDPR is signed within your account.

How do I get back out of ZepDesk?

With the complete export under Administration, Company: receipts and invoices as a list and as original files, bank transactions, advance returns, BWA, DATEV batches and the change log. Customers, items and accounts you download per list as CSV. After the contract ends you have 30 days for this.

Can I bring over data from my old software?

Yes, master data, open items and receipts, as CSV or from sevDesk exports. Journal entries and balances cannot be imported; you post the opening balances as entries on the cut-off date. For larger migrations we help you shape the files.

Does ZepDesk use my data for AI training?

No. The AI assistant runs only with the provider you choose in the AI settings, and only for the request at hand. Receipt recognition and dictation run separately at Scaleway SAS in Paris; according to Scaleway, it does not use the content for training either.

How long are backups kept?

Daily backups of every instance in the object storage in Falkenstein. Our operations team restores on request; there is currently no self-service retrieval. How long backups are kept is set out in section 8 of the privacy policy. They do not replace your own retention under § 147 AO; the complete export is there for that.

Which subdomain do I get?

One in the format shortcode.zepdesk.de with an automatic certificate. A domain of your own cannot be set up at the moment.

What's the availability?

During the early-access phase we pursue best-effort availability. The status page shows the measured availability of the last 90 days per area. SLA commitments (for example, 99.9%) will be expanded contractually as we move into regular operation.

Is ZepDesk GDPR-compliant?

Yes. You receive the data processing agreement (a GDPR-mandated document under Art. 28) automatically at signup as a PDF, fully signed. Your data is held in data centers in Germany; receipt recognition and dictation are processed by Scaleway in Paris. ZepDesk uses AI providers such as Claude or ChatGPT only if you choose or connect one. You request deletion under Art. 17 GDPR by email to datenschutz@zepdesk.de.

How is access protected?

Over TLS, with passwords stored only as a salted hash. Each person turns on two-factor sign-in in their own profile, by e-mail code or authenticator app; it cannot be enforced for a whole company.

How does deleting my data work?

You cancel under My account, My plan. Your subscription runs until the end of the paid period; after that you have 30 days to export your data, and your instance is switched off. What happens to the data afterwards is governed by § 8 (3) of the terms and section 8 of the privacy policy. You request erasure under Art. 17 GDPR at datenschutz@zepdesk.de. You must keep books and annual accounts for ten years and vouchers for eight years (§ 147 (3) AO), so export them before the end.
